Think Before You Ink: 5 Ways To Cut Print Costs
The money made by printer companies is not from selling printers; it is from selling expensive ink and toner cartridges, and it is not the chemical composition of the ink that drives up the price; the low-volume plastic ink cartridges are what cost you the most. These cartridges are like “little print engines” specially designed to work only with a particular brand of printer. These cartridges help improve print quality and preserve the tiny amount of ink contained inside them.
While a free ink jet printer with your new computer may seem like a great deal, the real strategy behind the “great deal” is that the computer company will eventually make more off the ink then the actual computer. The reason being is that you are limited to purchasing new ink cartridges that will only fit that specific printer. Unless of course you want to mess with refilling your own ink, but eventually those cartridges will still need replacing.
HERE IS HOW TO SAVE MONEY ON PRINTING
1. GO PAPERLESS
Better for the environment, lighter on your wallet. Most companies now invoice digitally, and will even charge you a minimal fee if you prefer the printed invoice.
Covert and save your files in PDF format. Set up a filing system to store these important documents, and have a Backup solution to reduce the risk of losing of data from computer failure, or human error.
A Backup solution can be a removable drive, a second hard drive, or an off-site location over the Internet. The backup solution only works if you regularly remember to backup your information.
2. AS THE TITLE SUGGESTS…THINK BEFORE YOU INK!
Sometimes people form habits. Perhaps at work or where you attend school the ink seems to flow freely without consequence. If this is what you are used to, then it may take sometime to learn to conserve your own print resources. Ask yourself why you are printing something in the first place? Can you condense it to less pages or even half a page? If a large quantity were required, would it be more cost efficient to take to your local printer? If so, can you print the document as two color as opposed to printing full color – especially when it comes to logos and branding. If you are printing photographs you are pretty much limited to full color.
3. CHANGE YOUR PRINTER SETTINGS
Don’t print full color unless you really need to. Learn how to use the advanced print settings in the various software programs you use most. Simply change to “black and white only” whenever possible, and print documents at “fast draft” or in “economy” mode if they will most likely end up in the recycle bin, and when testing a page to proof before printing your “good copy”.
4. BLACK AND WHITE LASERS
If you are mainly printing text documents, a black and white laser machine might be the most cost efficient choice for you. Lasers produce more copies then ink jets before they run out and need replacing. For the odd time that you need color printing, you can use an inexpensive color ink jet. Ink jets will cost you more in the long run if you print frequently, but for the occasional print they are still convenient and reasonably priced.
5. COLOR LASERS AND LEASING
If you plan on colour printing more frequently and/or in larger quantities, especially for business, a machine that copies, scans, and faxes in addition to printing could be the best option for you. The prices of multifunction color lasers are more affordable then ever before. The quality of a colour laser is better then a color ink jet for business documents, but when it comes to photographs, ink jets still achieve a larger range of color spectrums.
Depending on the quantities of prints you plan on outputting per month you may save even more money by leasing a laser printer with pricing per imprint, especially if you print over 2,000 pages per month.
